This All-Employee Meeting will be a fantastic opportunity for everyone to unite as one team, embrace our shared culture, and propel us into the future. All full-time employees (30+ hours weekly) employed as of March 31, 2026, are eligible to attend. Interns are not eligible to attend.

Yes, pay will continue as usual, and there is no need to submit time off if you choose to attend.

Should you choose not to attend, you will be compensated as usual for time worked and should use a time away code (RTO/PTO) for time away from the office.

We recognize serving clients is always a top priority, especially during a busy season for parts of our business. We will provide ample time along with convenient workspaces to balance celebrating and caring for our clients. For Enterprise Services, we will be working through a plan to ensure resources are available for employees who do not attend.

No, at this time, and until we launch a broader communication plan to our external stakeholders, we ask that you refrain from sharing this news on social media channels (i.e., Facebook, LinkedIn, etc.). As our travel dates approach, we will provide more guidance and talking points around appropriate external communication for stakeholders, so they are aware and to provide assurance we will continue to care for their needs during our meeting. Until then, we encourage you to celebrate this good news with your Holmes Murphy colleagues internally.

No, the All-Employee Meeting is only valid on the program dates offered. Our All-Employee Meeting is designed to bring our entire team together to celebrate our shared success. As such, there is no cash reimbursement available for employees unable to attend.

No, any year-end bonus will continue to be determined on financial results, excluding the costs of the All-Employee Meeting.

No, the All-Employee Meeting will include elements to ensure we encompass and celebrate these and other events. We want our All-Employee Meeting to feel both productive and special, so we are focusing our time, travel, and resources in 2026 on creating a memorable experience to celebrate, connect, and ignite together.

Travel Logistics

Lodging will be assigned in single rooms, meaning every employee will have their own space for the duration of the meeting.

No, we have arranged for each employee to have their own room to provide for the best experience.

No, to ensure a focused and productive environment during the meeting, our policy will not permit family members nor guests to stay in hotel rooms booked for employees on September 22 – 25, 2026. This helps maintain a professional setting and aligns with the purpose of the meeting. The Dependent Travel Reimbursement policy will also not apply to this trip.

Yes, extensions may be available at either end of the scheduled dates for the All-Employee Meeting at an employee’s personal expense. If any guests join you, their arrival and departure dates need to be outside the Holmes Murphy All-Employee Meeting dates of September 22 – 25.

While we are still confirming specific details for our agenda, we anticipate a mix of all-employee meetings, hosted activities, entertainment, and relaxation.

Expenses/Costs

Below is a list of included costs. Should you choose to extend your trip, you will be responsible for excess travel cost and/or increased cost differentials on airfare.

  • Round-trip airfare to Orlando (booked through ITA Group)
  • Three nights room rate, fees and tax at Gaylord Palms Resort & Convention Center
  • Activities included but not limited to:

    • Welcome event
    • Group fitness activities
    • Town hall gatherings
    • Guest speaker
    • Choice of one hosted activity
    • Celebration event
  • Meals as part of the formal itinerary
  • Airport transfers to and from hotel in Orlando on group trip dates
  • Taxes, tips, and gratuities connected with the items above

We recognize there may be some expenses incurred because of travel (i.e., airport parking, airport meals, etc.). We are working through an approach for these ancillary expenses and will be sharing more details in future communications.

Expenses incurred outside of what Holmes Murphy is providing as part of the All-Employee Meeting, will not be eligible for reimbursement, including but not limited to:

  • Entertainment and/or activities on your own
  • Meals or beverages on your own (including room service and minibar)
  • Upgrades (ride share, airfare, airplane seats, hotel, etc.)
  • Transfers on your own
  • Airplane Wi-Fi
  • Telephone calls and/or cell phone charges
  • Gift purchases
  • Laundry
  • Any other items not specifically mentioned as included are your responsibility

Resort casual attire is appropriate for travel, meetings, and General Sessions. Meeting spaces may be cooler, so layers are recommended, while lighter attire is suitable for afternoon activities and evening events. Athletic or workout wear (including yoga pants, leggings, joggers, gym shorts, and athletic tanks) is not permitted during travel, meetings, or General Sessions.

Guests should dress neatly and comfortably for a professional yet relaxed resort setting. Please pack comfortable shoes for hosted activities, golf attire if applicable, and swimwear with a cover-up, along with a hat, sunglasses, sunscreen, and a light jacket or sweater for cooler mornings and evenings.

Yes, we have designed an ongoing communication plan between now and the trip to continue sharing additional information and details. About two weeks before you depart for Orlando, you will receive an email with everything you need to prepare for your travel.  

  • Take pictures of your travel documents (identification, airline confirmation, hotel confirmation, etc.) and the contents of your checked luggage if applicable.
  • Download your airline’s app to check in 24 hours before your flight, check seat assignments and track your flight. Don’t miss flight alerts, such as delays and cancellations.
  • Ensure you have enough of your prescription medication for your entire trip (pack it in your carry-on).

Registration

Please register as soon as possible. The registration deadline is Tuesday, April 14, 2026.

The process is simple:

  3. Fill in all requested fields and select “Submit Registration.”
  4. Check your email for confirmation of your registration.

Yes. You may extend your stay at the Gaylord Palms Resort and Convention Center before or after the trip based on availability. You will need to provide a credit card to cover all extension expenses, including those for additional airfare, credit card processing fees, hotel stay, and transfers. Please request your extension during registration.

Special Hotel Rate: $289 per night, plus taxes and fees, for a regular (non-suite) room

We’d love to. Our team of experts can help you plan your extension for a small non-refundable research fee ($25 per person). In addition to the research fee, all extension expenses will be your responsibility, including additional airfare, credit card processing fees, hotel accommodations, and transfers.

You will have the option to use our expertise for items such as:

  • Hotel research and booking (at hotels other than the group hotel)
  • Airline upgrades
  • Rental cars
  • Rail tickets

Travel

We will help you with all of your travel plans. Here’s how it works:

  1. Select “Register” above and enter your preferred airport, dates, times, etc.
  2. Within 1 – 2 weeks of the close of registration, you will be contacted via email with a proposed flight itinerary.
  3. Reply within 24 hours to the proposed itinerary with your approval (or request changes). Then, your tickets will be issued.

Notes:

  • You’ll receive an airline confirmation via email.
  • Pre-assigned seat assignments may not be available. Some airlines will allow you to pay a fee to secure your preferred seat choice.
  • Air travel is based on the lowest fares available at the time of ticketing and subject to airline regulations.
  • Any cancellations or changes after ticketing may result in penalties. Employees who are unable to attend after committing to the trip may be responsible for non‑recoverable expenses.

The Holmes Murphy Travel Headquarters will arrange for your transfers. When you arrive in Orlando, members of the Holmes Murphy Travel Team will meet you at the airport. They will be holding a sign with the Harness the Moment logo and will direct you to waiting transportation for your 25-minute transfer to the hotel.

We suggest that you arrive at least two hours before your flight departs to allow you enough time to go through security and get to your gate. Don’t forget to check in to your airline’s website 24 hours prior to travel and view your flight itinerary so you are aware of any last-minute flight changes.

You will need government-issued photo identification to travel to Orlando. Please see Travel Documents for more information.

The legal name on your identification must exactly match the name on your airline ticket, including any middle name or middle initial.

If you don’t have a REAL ID-compliant license for your domestic flight, you may use a valid passport as an acceptable alternative. If you do not have an acceptable alternative, you will face delays, additional screening and the possibility of not being allowed into the security checkpoint.

Starting February 1, 2026, TSA will charge you $45 to use TSA ConfirmID for a 10-day travel period if you do not have a REAL ID. You can avoid this fee by using a valid passport or other accepted forms of identification. Refer to the TSA website for additional information.

Follow the TSA’s 3-1-1 Guidelines for Liquids: 3.4-ounce containers in 1 clear, 1-quart zip-top bag. Check your airline’s website for luggage size limitations and fees.

Note: Airline carry-on restrictions do not apply to medical supplies and equipment. Travelers with disabilities and medical conditions can visit the TSA website to find out what to expect during airport screening and flying.

Health and Safety

Yes. Holmes Murphy will provide a plan to protect you during travel for the All-Employee Meeting. You can find certificates of coverage specific to the state your company is headquartered in to review coverage purchased on your behalf.

You can play a large part in ensuring your own safety by following these simple tips:

  • Maintain a watchful eye of your immediate surroundings and keep belongings close to you.
  • Do not venture out alone; it is always safer to travel in numbers. Be sure to ask the hotel staff if an area of the city you plan to visit is considered unsafe.
  • Let someone know where you’re going and when you expect to return.
